Privacy Policy
Version 1.1. Effective on first public availability of SealRunner.com. Data controller: MPLLC.
1. What we collect
- Customers (no account needed): first name, email address, optional phone number, ZIP code, city and state, requested service method, timing (now, today, or a scheduled date and time or window), document category, preferred language, and an optional short note you write. We also generate a random reference and a private status-link token for each request.
- Notaries (account required): login email and a salted password hash (never the password), legal and business name, business phone, commissioning state(s), commission number(s) and expiration date(s), self-reported remote online notarization status, service methods, service area (ZIP codes, counties or radius), languages, categories, availability, pricing information, bio, optional photo URL and links, notification preferences, and records of requests received and your responses.
- Everyone: a signed session cookie; standard server logs (request path, status, timing, a request id); product analytics events (for example "search started", "results displayed") linked to a random session identifier; and, for abuse prevention, a keyed one-way hash of your IP address stored with requests and short-lived rate-limit counters in memory.
- Notifications: a log of each email we send (recipient address, subject, template, delivery status). We do not store message bodies.
2. What we deliberately do not collect
We do not accept uploaded documents or images, Social Security numbers, driver's licence or passport details, financial account numbers, health records, or the contents of the documents you need notarized. Please do not put such information in the note field; we screen for common identity-number patterns and reject them.
3. How we use information
To match your request with eligible notaries; to deliver your request to the notary or notaries who receive it; to send you status emails (received, accepted, not filled, cancelled); to let notaries manage listings and respond; to verify notary commissions; to operate, secure, debug and improve the service; to prevent fraud and abuse; and to comply with law.
4. Who receives your information
- Notaries: your first name, contact details and request summary go to the notary you selected or, for a routed request, to a small number of matching notaries. When a notary accepts, the others are released and can no longer act on the request; they retain what they were sent as part of their records.
- Customers: when you accept a request, your listed business name, email address and, if provided, business phone are sent to that customer.
- Service providers: hosting, database, email delivery and, if paid features are enabled in future, a payment processor, each acting on our instructions. We do not sell personal information and do not use it for third-party advertising.
- Legal: where required by law or to protect rights, safety or the integrity of the service.
5. Cookies and analytics
We use one first-party, signed, HttpOnly session cookie for login state, form protection and to associate anonymous analytics events with a session. We do not use third-party advertising or tracking cookies. Our analytics are collected by SealRunner itself and, optionally, forwarded to an MPLLC-operated collector.
6. Retention
Requests and leads are retained while operationally necessary and for record-keeping; customer contact details on closed requests may be minimised or anonymised over time. Notary account data is retained while the account exists and for a reasonable period afterwards for legal and dispute purposes. Server logs and rate-limit counters are short-lived.
7. Security
Passwords are hashed with Argon2. Session cookies are signed and HttpOnly. Status links use long random tokens and are shown only to the email address that made the request. Access to administration is restricted to MPLLC staff. No method is perfectly secure; keep your status link and password confidential.
8. Your choices and rights
You can cancel a request from its status page. Notaries can edit or unlist their profile and change notification preferences at any time. Depending on where you live you may have rights to access, correct, delete or restrict processing of your personal information, or to object; contact MPLLC through the address published on SealRunner.com and we will respond as required by applicable law. We do not knowingly collect information from children under 16.
9. Jurisdiction
SealRunner is operated from the United States and intended for users in the United States. Privacy laws vary by state; where a state law grants additional rights, we honour them for residents of that state.
10. Changes
We may update this policy; the current version is always at this address with its version number.
